TBAVA Registration & Refund Policy

The Tuckahoe Baptist Association of Virginia ("TBAVA") is committed to providing a smooth and transparent registration experience for conferences, annual sessions, leadership trainings, ministry events, and other Association-sponsored activities.


Event Registration


Registration may be required for certain TBAVA events and programs. Participants are encouraged to register before the published registration deadline to ensure adequate planning and accommodations.


Registration is considered complete when:


  • All required registration information has been submitted, and
  • Any applicable registration fee has been paid in full.


TBAVA reserves the right to close registration when capacity limits are reached or when registration deadlines have passed.


Registration Fees


Registration fees, when applicable, will be clearly displayed during the registration process.


Fees may vary based on:


  • Event type
  • Participant category
  • Registration period
  • Special accommodations or add-on options


Some events may be offered at no cost.


Cancellation by Participant


If you are unable to attend an event after registering, please notify TBAVA as soon as possible.


Refund requests must be submitted in writing by email to the Association office.


Refund Policy


Unless otherwise stated for a specific event:


  • Refund requests received at least 14 days prior to the event date may be eligible for a full refund, less any non-refundable processing fees.
  • Refund requests received within 14 days of the event may not be eligible for a refund.
  • No refunds will be issued after the event has begun.
  • Failure to attend an event does not automatically qualify for a refund.


Certain events, conferences, or special programs may have unique refund terms. When applicable, those terms will be published on the event registration page and will supersede this policy.


Registration Transfers


If a registered participant is unable to attend, registration may be transferred to another individual from the same church or organization when approved by TBAVA.


Requests for registration transfers should be submitted before the event begins.


TBAVA reserves the right to deny transfer requests when necessary.


Event Changes and Cancellations


TBAVA reserves the right to modify:


  • Event dates
  • Schedules
  • Locations
  • Speakers
  • Program content


If TBAVA cancels an event, registered participants will be notified and will generally be offered one of the following options:


  • A full refund of registration fees paid
  • Transfer of registration to a rescheduled event
  • Credit toward a future TBAVA event, when applicable


Weather, Emergencies, and Circumstances Beyond Our Control


TBAVA shall not be responsible for participant expenses related to travel, lodging, meals, or other costs incurred due to event cancellations, postponements, or interruptions caused by:


  • Severe weather
  • Natural disasters
  • Public health emergencies
  • Government actions
  • Facility closures
  • Other circumstances beyond TBAVA's reasonable control
